What are Pricing Rules?
Pricing Rules is a trigger-based promotion system built directly into price sheets, giving you more control and flexibility over how your product offerings are presented in the gallery storefront.
Instead of cloning a price sheet or manually adjusting prices for a sale, you can configure rules once, and they activate automatically across every job using that sheet—no per-job setup needed.
There are two types of rules:
Hook rules create time-limited urgency tied to the gallery launch. The promotion starts the moment the gallery publishes and runs for 48 hours, 72 hours, or 1 week. PhotoDay automatically sends customers a message at gallery publish and a reminder on the last day of the promotion.
Upsell rules are trigger-based rewards that unlock when a customer reaches a spend threshold or adds a specific product or package to their cart. These are displayed in the storefront and cart—no separate messaging is sent.
Example:
Hook: 25% off Download All
Upsell 1: 15% off a la carte items with purchase of any package
Upsell 2: 50% off a la carte items with purchase of Download All
Upsell 3: Free shipping on orders $75+
This setup shows two different ways to unlock the same category discount: buying a package unlocks 15% off a la carte items, while adding Download All to the cart unlocks a deeper 50% off — rewarding your highest spenders with your steepest discount. Free shipping at $75+ adds one more nudge toward bigger carts overall.
One thing to keep in mind: Pricing Rules isn't separate "sale pricing" — it's your regular a la carte pricing, discounted when a rule is active. Set your base prices with that discounted price in mind.
Our rule of thumb: don't overcomplicate it. Pricing Rules should enhance and guide the customer experience. Decide what product(s) you really want to sell, make that your Hook, then build Upsells around it.
When to use Pricing Rules
Hook rules work best when you want to:
Create urgency at gallery launch ("Free social sharing download with any package for the first 48 hours only”)
Reward early shoppers with a time-sensitive deal
Automate a "Download All" special without manually swapping price sheets
Upsell rules work best when you want to:
Reward customers for larger cart sizes
"Spend $75, unlock a free 5x7"
Incentivize a specific purchase
"Buy Download All, get 20% off prints"
Create add-on style pricing and encourage additional product purchases
"Buy any package, get 25% off all a la carte items"
💡 Strategy tip: Hooks and Upsells can run simultaneously. Customers receive every discount they qualify for across active rules — you can layer them to build a compelling sales experience.
Setting up a rule
Go to Store > Price Sheets and open the price sheet you want to add rules to.
Click into the Rules section and create a new rule.
Choose your rule type: Hook or Upsell.
For Hook: select the promotion duration: 48 hours, 72 hours, or 1 week. The countdown begins when the gallery publishes.
For Upsell: define the trigger:
Spend threshold (calculated on retail price)
Add a specific package to cart
Add Download All to cart
No trigger (a straightforward sale — no customer action required)
Define the affected products: all products, or scoped to a category (digitals, prints, specialty).
Set the incentive: percent discount, fixed dollar discount, free shipping, or a free a la carte product from your price sheet.
For Upsell: set the start timing — on publish, at a relative time after publish, or on a specific date.
Enable the rule. It activates automatically on all jobs attached to this price sheet.
Rule limits
Rule type | Max active | Max total (including disabled) |
Hook | 1 | 2 |
Upsell | 3 | 6 |
You can save rules in a disabled state to have them ready to switch on later.
Heads up: If you remove a product from your price sheet that's tied to an active rule, you'll see a warning before proceeding. If the rule becomes invalid without that product, it will be automatically disabled.
What customers see
Active Pricing Rules surface automatically across the storefront:
Banners at the top of the storefront (multiple can display at once)
Deals page — a dedicated page showing all active offers with progress bars for spend thresholds, countdown timers for Hook promotions, and messaging that updates as deals unlock
Badges and strike-through pricing on discounted products in category and product views
Quick-add prompts for discounted categories, so customers can easily take advantage of an eligible Upsell
Cart integration — free products are automatically added to the cart when a qualifying event is met; customers can choose to remove them
Order summary savings total — all savings, including the retail value of free products, aggregate into a "you saved" total
When multiple deals unlock at the same time, a prioritization order determines what surfaces in the post-action modal: Download All and add-package triggers take priority over spend threshold, then the soonest-expiring deal shows first.
Discount logic
Rules are configured at the price sheet level and apply across all attached jobs automatically.
When multiple rules could apply to the same item, only the highest applicable discount applies — discounts do not stack on a single item.
Customers do receive all discounts they qualify for across different rules — multiple active rules can benefit the same customer on different items.
Free shipping and external offer codes continue to apply alongside Pricing Rules.
Dollar discounts from external offers are applied to the final cart price after rule-based discounts.
Free product rewards are granted one per qualifying event (e.g., one free 5x7 per package purchased — not per order).
Spend thresholds are calculated on retail price, not sale price.
In private galleries, spend thresholds apply per subject gallery. In group or public jobs, the entire cart contributes to the threshold.
Rules apply per subject, not per cart. (Exception: free shipping rules affect the whole cart.)
Communications
Hook rules: Two automated messages send automatically — one with the initial gallery publish notification, and one on the last day of the promotion. These integrate with PhotoDay's existing publish SMS. No additional setup needed.
Upsell rules: No separate messaging. Upsell promotions surface in-storefront only.
For a full overview of PhotoDay's automatic messaging, see Automatic Email & SMS Campaigns.
How Pricing Rules work with existing offers
AdvancePay offers and external codes all continue to function. Gallery Promotion offer functionality will be replaced by Pricing Rules since they can serve the same function with a better customer experience and no offer codes.
During the beta period: Do not overlap new Pricing Rules with an active Gallery Promotion offer on the same job to avoid customer-facing confusion and conflicts in gallery messaging. If you have existing AdvancePay offers configured, keep those as-is for now — AdvancePay is not being replaced by this release, though future updates will bring similar rule-based flexibility to the AdvancePay experience.
FAQs
Can I have more than one Hook rule active at a time?
No — only 1 Hook rule can be active per price sheet at a time.
Do Pricing Rules apply to all my jobs automatically?
Yes. Once a rule is enabled on a price sheet, it activates on all jobs using that sheet — no job-by-job toggling needed. This also means rules are consistent across all active galleries using that sheet.
What happens if I remove a product that a rule depends on?
You'll see a warning before you can proceed. If removing the product makes the rule invalid, the rule will be automatically disabled.
Can customers stack multiple promotions?
Customers receive all discounts they qualify for across active rules. However, only the highest applicable discount applies to any single item — discounts on the same item don't stack. Free shipping and external dollar amount off codes apply on top of rule-based discounts.
How is the spend threshold calculated?
Spend thresholds are based on the retail price of the items in their cart. In private galleries, the threshold applies per subject gallery. In group or public jobs, the full cart contributes toward the threshold.
Can I use Pricing Rules to automate a "Download All" special?
Yes — a Hook or Upsell rule can apply a discount to Download All without you having to change or swap your price sheet. The system handles the promotion and timing automatically.
How do Hooks interact with Responsive Campaigns?
They run in parallel. Hook messaging reaches all customers at the start and end of the promotion window. Responsive Campaign messages are triggered individually once a customer begins interacting with the gallery. The two systems don't interfere with each other.
