Understanding PhotoDay's detailed order reports

Understanding the amount of information available on reports can be daunting, especially for those new to selling online. We've got you covered!

After downloading the orders report, you’ll want to import and then format the CSV file. Formatting the file is an important step because the application you are previewing the file in will modify the data according to your application defaults. If you're using Excel or Google Sheets, the tax rate (%) may only display 2 decimal points. If this happens, you'll need to format the columns to display all 3. Also, it is important to format the columns displaying any monetary figures to display currency (vs. number).

Below is a detailed key of which each column header is displaying. You may not need all of this information depending on which applications you are using for reconciliation & reporting outside of PhotoDay.

Amount ($) - This is the total gross sale (includes tax and shipping). The PhotoDay Fee is calculated from this.

Taxed Amount ($) - Taxable portion of the sale according to products purchased and the customer’s postal code

Taxes ($) - Total amount of taxes collected

Tax Rate (%) - Total tax rate, including both state + surtax (if applicable)

City Tax ($) - Only the city tax collected

City Tax Rate (%) - The city’s tax rate

County Tax ($) - Only the county tax collected

County Tax Rate (%) - The county tax rate

State Tax ($) - Only the state tax collected

State Tax Rate (%) - The state tax rate

District Tax ($) - Only the district tax collected

District Tax Rate (%) - The district tax rate

Lab Costs ($) - Total cost of products + shipping paid directly to the lab

Products Costs ($) - Only the cost of lab products paid directly to lab

Lab Shipping Costs ($) - The cost of the shipment for the order based on the Lab’s shipping costs on your price sheet.

Shipping Costs ($) - This is the total shipping charge calculated for the order prior to any discounts. If the customer paid shipping costs, these are paid directly to the lab. If you provided a free shipping discount on the order this cost will be deducted from your payout and noted in the Offers column.

Digital Cost ($) - Costs of digital downloads paid directly to PhotoDay

Subtotal ($) - The total retail price of the items ordered before applicable offers or fees.

Fees ($) - This is the PhotoDay commission fee + Stripe processing fee

PhotoDay Fee ($) - Only the PhotoDay commission fee

Processing Fee ($) - Only the Stripe processing fee

Used Credits ($) - AdvancePay credit applied to the order

Discount Applied ($) - The amount of any discounts applied to the order

Studio Payout ($) - The funds deposited into your Stripe account

Retail Delivery Fee ($) - Collected and remitted retail delivery fee

AdvancePay remaining balance and expiration date
