Can I assign Vouchers only to certain subjects?

Limit a job's voucher to certain subjects by matching subject data or picking subjects by hand

Voucher Eligibility lets you choose which subjects on a job can redeem the price sheet's voucher. Instead of offering the free item to every subject, you can limit it to a group, such as coaches, staff, or teachers, by matching subject data or by picking subjects by hand.

How Voucher Eligibility works

Vouchers are created on a price sheet, and by default every eligible subject on every job using that price sheet can redeem one. Voucher Eligibility is set per job, so you can keep one price sheet and voucher and still decide who gets the free item on each job.

There are three options for Who Can Redeem:

  • All Subjects – the default. The voucher works exactly as it does today.

  • Subjects Matching Data – only subjects whose subject data matches the values you choose (for example, Teacher is Mr. Morris or Ms. Lee).

  • Selected Subjects – only the subjects you pick by hand.

Subjects outside your selection won't see the voucher in their gallery and can't redeem it.

Group and public jobs: Voucher Eligibility narrows who can redeem on top of the existing requirement. A customer still needs an email and/or phone number that matches the subject data to see and redeem the voucher.

Before you start

  • The job's price sheet must have a voucher. The Voucher Eligibility settings only appear on jobs whose price sheet has one.

  • To use Subjects Matching Data, the job needs subject data with a column you can match on, such as Teacher, Grade, or Team. Contact info (email/phone), access codes, and date columns aren't available as matching columns.

Limit a voucher by subject data

  1. Open the job and go to Subjects.

  2. In the Voucher Eligibility settings, set Who Can Redeem to Subjects Matching Data.

  3. Choose a data column, then choose one or more values from that column. Choose Any value to include every subject who has something entered in that column.

  4. To match on another column, click + Add Data Column and repeat. Use the trash icon to remove a column you added.

  5. Check the count of subjects eligible (for example, "7 of 10 subjects eligible"), then click Save.

How matching works: Within one data column, a subject only needs to match one of the values you chose. When you add more than one data column, a subject must match every column to be eligible.

For example, Teacher = Mr. Morris, Ms. Lee makes subjects in either class eligible. Adding a second column, Grade = 5, narrows that to fifth graders in either class.

Choose subjects by hand

  1. Open the job and go to Subjects.

  2. In the Voucher Eligibility settings, set Who Can Redeem to Selected Subjects.

  3. In the Choose Eligible Subjects window, search for and check the subjects who should get the voucher. The window shows how many subjects you've selected.

  4. Click Apply Selection. Your chosen subjects appear as chips in the settings. Remove a chip to take that subject off the list.

  5. Click Save.

Heads up: Subjects you add to the job later are not eligible until you select them. If you want new subjects to be included automatically, use Subjects Matching Data instead.

See who's eligible

While a job is limited to Subjects Matching Data or Selected Subjects, the subject table shows a Voucher column. Eligible subjects are marked Eligible, and everyone else shows a dash.

The job's Insights voucher metrics count only eligible subjects, so Total Available reflects your eligibility setting.

To go back to offering the voucher to everyone, set Who Can Redeem to All Subjects and click Save. The Voucher column goes away and the job works as it did before.

What customers see

Customers shopping for an eligible subject see the free voucher product or package in the gallery and redeem it as usual. Customers shopping for a subject who isn't eligible don't see the voucher at all.

PhotoDay also checks eligibility at checkout. If a voucher item is in the cart for a subject who is no longer eligible, it's removed from the order.

FAQs

Is Voucher Eligibility set on the price sheet or on the job?

On the job. The voucher itself is still created on the price sheet, but each job using that price sheet can have its own eligibility setting.

What happens if I change eligibility after someone has already redeemed?

A redemption is permanent. Even if you change the setting or switch back to All Subjects, a subject who has already redeemed still shows as redeemed and can't redeem again.

If I update a subject's data, does their eligibility change?

Yes, for Subjects Matching Data. Eligibility follows the job's current subject data, so a subject who now matches your values becomes eligible, and one who no longer matches loses access to the voucher (unless they've already redeemed).

Can I combine Subjects Matching Data and Selected Subjects?

No. Each job uses one option at a time: All Subjects, Subjects Matching Data, or Selected Subjects.

Why can't I choose a data column?

The job doesn't have subject data columns available to match on yet. Add subject data to the job, or use Selected Subjects instead.

I don't see Voucher Eligibility on my job. Why?

The settings only appear when the job's price sheet has a voucher. Add a voucher to the price sheet assigned to the job, and the Voucher Eligibility settings will appear in the job's Subjects tab.
