Let customers redeem one free product or package

With Vouchers, you can provide each customer with a free product or package. The most common use case for this is when an organization pays upfront for every participant to receive one free item (e.g., a digital download or print package). In the gallery, each customer redeems their voucher individually and can also purchase additional products.

When to use Vouchers

The following examples are the recommended scenarios for using vouchers:

  • Organization/league pre-pay scenarios (e.g., school pays for every student to get one free print)

  • Studio promotions where a specific product is included with a session fee


Vouchers in different job types

Private jobs: Every subject in the private job will receive one voucher redemption. If a voucher is redeemed by one customer for a specific subject, another customer shopping this subject's gallery will see that it has already been redeemed.

Group/Public jobs: Subject data with contact info (email and/or phone number) will be required to assign vouchers. Only customer accounts whose phone and/or email on their account matches the subject data for any subject(s) will be able to see and redeem the free voucher product. One voucher per subject rule still applies.


Pricing, Payouts, and Taxes

  • Voucher items are included in lab cost calculations (so your studio still pays the lab cost for voucher products)

  • Voucher items are NOT included in tax calculations

  • PhotoDay maintains a minimum $0.50 fee on every order

  • If the lab cost exceeds the order total, the difference is debited from your connected Stripe account

  • Please review the Terms of Service regarding the account debit policy before using Vouchers


How to Set Up a Voucher

Navigate to Price Sheets and open the price sheet you want to add a voucher to.

Click on the Vouchers section > create a new Voucher.

Name your voucher (this will appear to customers) and set an optional redemption period.

Select the product or package the voucher will redeem (required). Vouchers support any product type: individual prints, digital downloads, Download All, or packages.

When you click Create Voucher, the voucher will be immediately active on that price sheet.

Now, all you have to do is assign the price sheet to a job.

Please note: subject data is required to assign vouchers and prevent duplicate redemptions. Customers with multiple associated subjects can redeem one per subject. If offering Vouchers for a group or public job, a matching email and/or phone number must be included in the job's subject data for a customer to see/redeem the free voucher product.


How Customers Redeem a Voucher

Customers will access the gallery and choose their favorite photos as usual. In the storefront, the Voucher Package or Product appears alongside other packages in the gallery as Free.

When a customer selects the free Package/Product, it’s added to their cart at $0. Customers can keep shopping to add additional paid products to the same order.


How to Manage Vouchers

In Store > Price Sheets, you’ll be able to see which price sheets have a voucher attached.

Vouchers can be deleted in the price sheet. Please note that deleting a voucher removes both the voucher and its product association from all attached jobs.

Each job’s Insights table will track additional metrics for Vouchers:

  • Total Available (total number of subjects in a private job or total number of subjects with customer contact info in a public or group job)

  • Vouchers Redeemed

  • Total Vouchers Remaining

  • Total Vouchers Costs (lab fees + PD fees)

In the Orders Report, a Voucher Redeemed column will be included along with the name of the voucher.


FAQs

Can I have more than one voucher per price sheet?

No, currently one voucher per price sheet.

What happens if a customer tries to redeem a voucher after the redemption period?

Voucher items will not appear in the storefront once they have expired. Vouchers have a configurable expiration period.

Will voucher-redeemed products appear in my product reports?

Voucher items appear in order data; the Product Report will filter these out since they were not purchased.

How will I be charged if a voucher order results in a loss?

If the lab cost exceeds the order total, the difference will be debited from your connected Stripe account.

What product types are supported?

Any product type! Individual print, specialty item, digital download, Download All, or a package.

How are voucher-redeemed products taxed?

Voucher items are included in lab cost calculations but are not included in tax calculations.
