How do I create ID cards?

How to get student and staff ID cards made using PhotoDay's Service Item export — what's included, how to create it, and three ways to get cards printed.

PhotoDay doesn't design or print ID cards on the platform. Instead, the Service Item export hands you everything an ID card designer or print lab needs: Subject Data plus a cropped primary photo for every subject.

What's in the export

  • Subject Data CSV with names, grades, teachers, IDs, and any other fields in the job.

  • One photo per subject, selected in bulk (like your featured photos), so you don't have to pick one by one.

  • Photos as-is or AutoCropped. Export originals, or let AutoCrop size every photo to a consistent headshot.

  • Custom filenames built from up to three Subject Data values.

Create it in 4 steps

  1. Start an export. In your job, go to Services → Exports, click +, and name it.

  2. Pick subjects and type. Choose who to include and how to group them, then select Service Item.

  3. Set photos, filenames, and crop. Featured photos become primary by default.

  4. Process, review, download. Adjust any crops, confirm, and we'll email you when the file is ready.

3 ways to get them printed

Your lab partner — Let your lab design and print. Most professional print labs offer ID cards (PVC or press-printed) and can build them directly from the Service Item export. Talk to your Lab Partner directly about what they offer, pricing, and how to upload and order in their system.

Design & print services — Tools studios are using: ClassPhoto IDs (browser tool that reads PhotoDay Service Item exports and outputs print-ready CR80 cards with barcodes), Photara (app for Mac and Windows that lays out ID cards), K12Print (ID badge printing, with design services if needed), and InstantCard (ID printing service with free template design and CSV data upload).

Print in-house — Buy your own ID printer and print cards on site or at your studio. Popular PVC printers: Evolis Primacy 2, Zebra ZC300. Complete kits (printer, ribbon, cards, software) are available from AlphaCard and Bodno.

Before you export: Ask the school which fields belong on the card (name, grade, student ID) and whether they need a scannable barcode, so your Subject Data has everything the card needs.
