A-C

Access Code

An access code acts as the password to your customer’s photo gallery. For group and public galleries, you (the studio) choose an access code for each job. For private galleries, access codes are automatically assigned to each subject. A customer can view their gallery by texting the provided access code to 90738 or visiting galleries.photoday.io (on their mobile or desktop web browser) and entering their access code.

AdvancePay

AdvancePay (abbreviated as AP) is PhotoDay’s answer to traditional pre-pay. Customers can purchase AP credits before picture day that they can apply to their photo order after pictures are published.

Backgrounds

Paired with extracted PNG photos, the Backgrounds feature allows studios to create a collection of backgrounds to give customers the choice of swapping backgrounds for different poses and products.

The Bubble

The Bubble is where our Customer Success team lives! You’ll find it in the bottom right-hand corner of your screen when you’re logged into the studio panel. You can reach out to us in the Bubble for a one-on-one chat, to schedule a phone call, or book a demo. We can't wait to talk to you!

Bulk Shipping

One of the three shipping types in PhotoDay, bulk shipping is available for private jobs with Miller’s. Bulk shipping will have all individual customer orders for a job shipped to a common location (such as your studio or the organization). Studios can specify a deadline date by which you would like all orders to be shipped to the location.

Campaigns

There are two types of automatic campaigns in PhotoDay.

1. SMS campaigns (for all job types) that send to all subscribed customers upon publishing a gallery.

2. Email campaigns (for private job types) that send to all customers based on the subject data you’ve uploaded.

The Capture App

Capture is a mobile app that works hand-in-hand with private galleries. It automatically matches subject data with professional photos using FaceFind, PhotoDay's facial clustering technology. Capture simplifies digital data collection and requires no additional equipment —just download the app to your phone or tablet.

Composite

A composite is an image created by digitally adding together multiple images to create a final product—such as a team photo, class photo, etc.

CSV

A CSV (comma-separated values) file is a type of text file that allows data to be saved in a table-structured format. You can use a CSV file to import subject data into a private gallery job.

Customer

Customers are the people purchasing from PhotoDay galleries. They’re your parents, grandparents, subjects, etc. that you—the studio/photographer—are communicating with and selling to.

Custom Themes

The Custom Themes feature allows studios to create and upload custom memory mate designs (such as branded for a specific organization).

The Dashboard App

Dashboard is a mobile app that enables studios to watch their sales stream into their PhotoDay account. As a PhotoDay user you no longer have to view your sales from a computer, but instead, receive notifications via your phone or watch every time a sale rolls in.

Digital Download

Digital downloads are a product type and can be offered as part of a package and/or as a la carte items. There are two types of digital download products:

  1. High-Resolution Downloads will be downloaded by the customer at the same resolution as the original uploaded photo, though slightly compressed for download speed optimization. A print release is included.

  2. Social Sharing Downloads are automatically resized to 900 pixels wide by the proportional height and do not include a print release.

Drop Shipping

Drop shipping is the default shipping method in PhotoDay. With drop shipping, each order is shipped directly to the customer’s address once fulfilled by the lab.

Export

A helpful feature associated with private galleries and their subject data is the ability to export your gallery's data in a variety of formats. There are three different types of exports.

  1. Subject Data: This will export your subject data as a standard CSV file that can be imported into any spreadsheet software.

  2. Yearbook: This will export your subject data (.txt file), along with the resized primary photo associated with each subject into a formatted PSPA archive.

  3. Service Item: This will export your subject data (.csv file), along with a primary photo associated with each subject. You can select from a list of crop templates or customize the crop.

  4. Compositing Data: This will export a pre-formatted data-only CSV file that works with common automated compositing workflows. It includes subject data with a separate row for each matched image.

FaceFind

FaceFind is PhotoDay’s facial clustering technology that makes it beyond easy to find, match, and group photos together.

FaceFind for Group & Public Galleries is an optional customer-facing search feature alongside “Tags” and “All Photos.” When your customers use FaceFind as a search option, it filters the gallery photos based on a matched reference image and displays any photos containing the subject’s face.

For Private Galleries, FaceFind functions behind the scenes on the studio side. FaceFind works in conjunction with the Capture app to record reference photos and match the finished professional photos to the correct subjects.

Featured Photo

Featured photos are selected subject photos that are used in flyers and gallery thumbnails for private galleries. They can also be used as the primary photo for exports to make anything from ID badges to yearbooks.

Flyer

Email flyers are PhotoDay’s built-in solution for promoting your galleries to your customers. Flyers are a great way to promote and get the word out about both photos and picture day itself through email, print, and an HTML link. Flyers include useful details that will help guide your potential customers to their gallery, where they can find and purchase their photos with ease.

Gallery

Customers can access, view, and place orders through their PhotoDay Gallery. The studio-facing job you set up turns into the customer-facing gallery.

Gallery Access / Gallery Type

PhotoDay's 3 different gallery types give studios full customization of how customers access and view their photos.

  • Public Gallery

    Public galleries are for when you want to provide open access to all of the attendees. A public gallery can be viewed via a direct link and does not require an additional access code to enter. Customers can quickly find their photos via FaceFind, Tags, or View All Photos (search options can be toggled on/off as desired for maximum flexibility). It’s perfect for sports, special events, group activities, graduations, and more!

  • Group Gallery
    Group galleries are for when you want to have one group access code. A group gallery has one access code that’s required to enter the gallery, but all participants can see all of the photos. Customers can quickly find their photos via FaceFind, Tags, or View All Photos (search options can be toggled on/off as desired for maximum flexibility). It's perfect for sports teams, dance schools, and more!

  • Private Gallery
    Private galleries are for when you want every subject to have their own private access code within one main job. These galleries use subject data to create private sub-galleries for each individual photographed. Private galleries are used in conjunction with the Capture App, which automatically matches subject data with professional photos using FaceFind. Gallery Offer

With the Gallery Offer feature, you can choose to attach an offer to a published gallery. Three things will happen when you attach a Gallery Offer: a banner displaying the offer will appear at the top of the gallery as customers are shopping, the offer code will be included in SMS campaigns, and finally, the offer will be automatically applied at checkout.

Gallery Status

The status of your gallery dictates how it’s visible to you and your customers. There are six possible states in which your gallery can exist—Draft, AdvancePay, Published, Publish Later, Archived, and Expired.

Insights

Each job has an Insights tab that you can use to get up-to-the-minute customer and sales info for that job. Including overall sales analytics for the gallery, individual purchase information, and more.

The studio-facing job you set up in your studio panel turns into the customer-facing gallery.

Knockouts

PhotoDay’s very own extraction feature. Studios can create a job, upload their photos, submit them for background removal, then move the knocked-out images to the corresponding gallery. Studios can also move the original images to the gallery and download the knocked-out PNG images.

Lab

Your customers couldn’t get their products without our wonderful lab partners. While you’re required to select a lab when you sign up for PhotoDay, you can add as many of our lab partners to your account as you’d like.

Marketing Kit

We have a whole Resources section in your Studio Panel dedicated to helping you have a successful, well-communicated picture day. In the Marketing Kit section, you’ll find branded templates for banners, posters, reminder cards, and social graphics.

Matching

In private galleries, FaceFind automatically matches uploaded professional photos to the reference photos included in your subject data. Occasionally a few photos might slip through the cracks, but sorting and matching these “unmatched” photos is a quick and simple process.

Offers

Offers are a great way to incentivize your customers and help you close more sales. The two main types of offers in PhotoDay are Discounts and Free Shipping. Once created, these offers can be used in a multitude of ways from AdvancePay offers, gallery banners, custom texts, and more.

Organization

An organization is the party for which you’re taking photos. Whether it’s a league, school, individual clients, etc.

P-R

Package

A package is when you group multiple products together in a price sheet and offer a savings incentive for your customer. Digital packages produce different results from old paper order packages, but we have lots of tips and tricks to help.

PD100

If you’re in our Facebook Group for PhotoDay Users, you may have seen this hashtag floating around. A #PD100 is any PhotoDay order with a value of $100 or more. Our Dashboard app allows you to share these in the group, encouraging us to collaborate and inspire each other to keep creating more amazing images that customers love.

PhotoDay Credits

PhotoDay Credits can be purchased and used for paid services within PhotoDay—for now, Knockouts, but there are more services to come!

Price Sheet

Price sheets are where you choose which products to offer, create packages, and determine your pricing. Each job requires a price sheet to be attached so your customers can view and shop their gallery’s storefront.

Product

All items included in your price sheet are considered products. A product can be a print, keychain, magnet, memory mate, etc.

Promos

Seasonal promo offers help you stay connected to your customers year-round with automated smart text marketing. Set up promos for any of your jobs published less than 365 days ago, and we’ll text every customer who has subscribed to the gallery (whether they’ve already ordered or not) to let them know about the special offer—all timed perfectly for the major gift-giving holidays.

Reference Photo

A reference photo is an identifying photo associated with a subject in a private gallery. They are the photos you take with the Capture app when checking in each subject. This reference photo is used to match the subject data with your professional images.

Retouching

Retouching is a feature you can add to any price sheet for customers to purchase. It magically softens skin, reduces acne, unwanted blemishes, and more! It’s available for individual poses, group photos, and images with graphics.

Sales Kit

Short Code

An SMS short code is a 5-6 digit phone number used by companies to send large-scale text messages. PhotoDay’s short code is 90738. Your customers can subscribe to their gallery by texting their access code to 90738.

SMS

SMS (short message service) refers to PhotoDay’s smart text marketing feature that’s free and automatic. Customers can subscribe to a gallery by texting their access code to 90738 (PhotoDay’s short code) and/or by clicking “Subscribe” in the gallery when viewing on a mobile or desktop web browser. SMS is utilized for PhotoDay’s automatic text message campaigns, promos, custom texts, and more.

Storefront

Your storefront is where customers can shop the products and packages right within their gallery. The studio-facing price sheets in your studio panel become the customer-facing storefront.

Subject

A subject is a person getting their picture taken! You might refer to them as students, athletes, teachers, etc. but in PhotoDay, we call them subjects.

Subject Data

Subject data is the collection of personal data that is used to assist in matching reference photos with individuals within the Capture app and private galleries. This usually takes the form of a CSV file containing basic information.

Subscribe (Opt-In)

Customers can subscribe to a gallery by texting their access code to 90738 and/or by clicking “Subscribe” in the gallery when viewing on a mobile or desktop web browser. This is the best way to connect with your customers! Once your customer is subscribed to the gallery, they will receive a confirmation text message and varying series based on the status of the gallery, any special offers, etc.

Studio

In PhotoDay, we refer to you (the photographer) using PhotoDay as a studio.

Studio Panel

The studio panel is where you access your PhotoDay account, set up jobs, etc. Log-in at studio.photoday.io

Tags

Tags are one of the three search options available for group and public galleries. You can create tags to help group and organize photos in the gallery, making it easy for customers to narrow their search (some example tags: team name, coach name, age group, etc.).

User

You, the amazing photographer/studio using PhotoDay are considered a User!

V-Z

Verification Code

A verification code is a security measure used to confirm a customer’s identity once they have created an account (by subscribing to a gallery and/or purchasing an AdvancePay credit). PhotoDay associates each customer’s account with their phone number; there are times we might text them a verification code and prompt them to enter it.

Wallet

The Wallet section of your studio panel is where you can see your PhotoDay Credit activity, view your remaining balance, and buy more credits. These credits can be used for paid services within PhotoDay.
