How to use Registration Forms to gather subject data for any job type

In PhotoDay, a Registration Form is a form that you can create to collect subject and parent/guardian contact data before picture day.

Customers can access the form through the job URL to submit their subject information (including optional reference photos), and this data automatically creates or updates subject records in the job.

Registration Forms give studios convenient, customer-provided data that powers notifications and enables a smoother gallery experience for families.

Get Started

To get started, go to the Registration Forms section to create a form template. This will act as a foundational template that you can then customize within each job you attach it to.

Each form can be customized to include instructions for end customers, how the person being photographed is referred to (Student, Athlete, Dancer, or Subject), which data fields to collect and what they are labeled, and whether a reference photo upload is required or optional.

Next, open your job (any type: private, group, or public), and head to the Pre-Picture Day Registration section .

When a Registration Form is attached to a job, you can configure the end date of the registration period as well as any fields that you would like to be input from a set data list in a dropdown rather than open text entry by the customer. Entries for dropdown submissions can be copied and pasted from a CSV or list or manually entered (one item per line).

Each subject entry will be added to the subject data in a job upon submission. Subject records can be edited or appended as needed. All original form submissions can be viewed under Insights.

Customer Experience

You can share the registration form via the Job URL, which will reroute all non-registered customers to the form while the registration period is active.

Multiple subjects can be added to the same form when needed. The customer account email will be added to the subject data email for these subjects, along with any additional email addresses provided on the form. Customers who have provided a phone number will also be opted in to SMS notifications for the job.

Once a customer has registered, they can then view the gallery at whatever status it is in (Draft, AdvancePay, Published).

In a Group or Public gallery job, any customer with associated subjects (either by completing a registration form or by logging in with an account that has a matching email address to a subject(s) in the job), they will be shown a filtered view of only this subject's (or multiple subjects’) photos without having to search for them. They can still navigate through the rest of the gallery if they choose.
